The International Center for Research on Women (ICRW) is an organization comprised of international development professionals â?? researchers, policy specialists and program managers committed to the creation and sharing of the needed tools, approaches and techniques that will serve as catalysts for change for women worldwide. ICRW currently seeks a Director, Office of the President (OTP)/Secretary to the Board.

Primary Role: The Director, Office of the President (OTP)/Secretary to the Board provides strategic support to the President while advancing institutional priorities. The incumbent's responsibilities span management, communications and research domains. S/he coordinates activities assigned by the President with institutional departments and with external stakeholders as necessary. At the request of the President, the incumbent synthesizes complex issues and performs and summarizes background research on key initiatives. S/he manages the President's research agenda, press, travel and public events schedule. S/he represents the President at meetings when required and appropriate. S/he will work in a collaborative relationship with the President and act as a special assistant, focused primarily on driving special initiatives and critical new donor introductions, writing speeches and presentations for external and internal audiences, shaping important ICRW decisions and core processes, and managing a network of key relationships with partner institutions and leaders in the field. As Secretary to the Board, s/he will plan and participate in all institutional board meetings â?? for the DC, Asia Regional Office and East Africa Regional Office boards â?? as well as coordinate and implement outputs and related communications. In addition, s/he will supervise the Senior Administrative Assistant to the President.

Principal Responsibilities and Tasks:

Management Support
â?¢ Manages the Senior Assistant to the President, ensuring all travel, correspondence, calendar updates, appointments, etc. are properly managed.
â?¢ Maintains task lists and project workplans.
â?¢ Updates institutional budgets.
â?¢ Approve timesheets, budgets and expenditures of the EO and EO staff.
â?¢ Performs other duties as assigned.

Donor Development and Special Projects/Initiatives
â?¢ Helps the President to manage the proactive introduction of new donors (e.g., outreach to foundations, matching opportunities to internal colleagues, follow up) and special initiatives.
â?¢ Helps shape the scope and approach of emerging high impact donor and other opportunities.
â?¢ Provides research and analytical support and creates content for proposal development and for discussions of potential organizational opportunities.

Managing External and Internal Networks, Speeches and Presentations
â?¢ Actively contributes to the external outreach agenda for the President and the ICRW.
â?¢ Works with External Relations and Communications in positioning for conferences, meetings and other events and in drafting speeches and presentations for external audiences.
â?¢ Facilitates effective participation in external events (e.g., identifying networking opportunities, participating and managing follow-up whenever possible).
â?¢ Attends meetings for the President; synthesizes, facilitates and implements outputs.
â?¢ Helps to maintain coherence in internal communications, ensuring that external insights are incorporated into internal messaging across ICRW.

Research Assistance
â?¢ Conducts reviews of procedures and systems of other organizations and/or partners.
â?¢ Produces summaries of relevant literature and reports.
â?¢ Performs data analysis and creates tables and charts.
â?¢ Prepares reports and presentations.

As Secretary to the Board
â?¢ Under the guidance of the President and Board chair, and with administrative and logistical assistance from the Senior AA to the Office of the President, ensures the proper management of board meetings, communications, contact information and dissemination of all board materials.
â?¢ Also with assistance from the Senior AA to the Office of the President, supports the preparation and distribution of the President's monthly bulletin to the Board as well as all relevant news, special events invitations, and other ICRW activities of their interest.
â?¢ Prepares the board docket, facilitates the Agenda, ensures documents are gathered, and takes board meeting minutes. Coordinates all outputs and follow-ups.
â?¢ Handles individual board member requests for information on ICRW.
â?¢ Maintains all corporate records and governance documents including minutes of Board meetings, bylaws, and articles of incorporation amendments resolutions, committee charters and assignments.
â?¢ Keeps track of directors' terms and alerts the Board Chair for required elections.

Education: Advanced degree in related field.

Experience: A minimum of ten (10) years general business experience to include a minimum of three (3) years of experience managing corporate affairs, including, but not limited to the effective handling of confidential and sensitive data and information, coordinating meetings and events and the effective coordination of internal and external matters among various parties. At least (ten) 10 years of substantive managerial experience with increasing responsibility, strong writing and editing experience, and successful experience working closely and collaboratively with senior staff and executive level colleagues. Experience conducting research required. Experience with, or knowledge of, policy and research institutions and atmospheres is strongly preferred.

Skills:
â?¢ Excellent analytical and written and spoken communication skills. Excellent written communications.

â?¢ Strong interpersonal communication skills, and the ability to interact with tact, comfort and diplomacy with a wide range of individuals, including ICRW Board members and partner organizations representing government, corporate and NGO sectors.

â?¢ Excellent organizational skills with the ability to multi-task, prioritize and manage multiple priorities.

â?¢ Entrepreneurial spirit to push forward and/or create opportunities within the Director's broader responsibilities.

â?¢ Computer literacy required with a demonstrated proficiency in the MS Office Suite (e.g. Outlook, Word, Excel, PowerPoint), as well as other internet-based applications.

â?¢ Ability to handle sensitive and confidential data, information and decisions made out of the President's office with a high level of discretion is essential.

â?¢ Must be self-directed and able to manage workload with minimal supervision, with the ability to meet concurrent deadlines and commitments.

â?¢ Must be resourceful with a demonstrated ability to solve problems and find and implement alternative solutions as needed, especially in dealing with dynamic projects.

â?¢ Must have employee management and project management experience, as well as experience with communications and external relations.
